Convaiy Privacy Policy

1. Scope

This Privacy Policy explains how Convaiy collects, uses, stores, and shares information when you use convaiy.com, a Convaiy account, or the Convaiy Support Plugin in ChatGPT. It does not replace the privacy terms of OpenAI, Stripe, Google, or another service you choose to use with Convaiy.

2. Information You Provide

We may receive your name, email address, business name, organization or team membership, and information you submit through the site or plugin. Plugin submissions may include assessment answers, business goals, software used at work, descriptions of work and repeated tasks, authorized AI-usage summaries or prompt text, and support requests. Convaiy does not automatically receive your complete ChatGPT conversation history. It receives information only when you start an assessment, authorize collection, or approve a support request.

3. Account, Subscription, and Technical Information

We maintain account identifiers, sign-in and authorization details, organization links, subscription and seat status, invitation status, service timestamps, and limited security or diagnostic records. Payments are processed by Stripe. Convaiy may retain Stripe customer, checkout, or subscription references, but does not receive or store your full payment-card number.

4. How We Use Information

We use information to create and secure accounts, connect the plugin to the correct organization, provide assessments and managed AI support, organize submitted projects and usage summaries, respond to support requests, administer subscriptions and seats, communicate about the service, prevent abuse, maintain and improve the service, and comply with legal obligations.

5. How We Share Information

We do not sell personal information or use it for third-party behavioral advertising. We share information only with service providers that help us operate the service, such as Supabase for account and service data, Stripe for billing, and Google for scheduling when you choose that option; with OpenAI as part of your use of ChatGPT and the plugin; with your organization when needed to administer its Convaiy service; or when required for security, legal compliance, or a business transfer. Shared software suggestions contain only the software name and do not identify the person or organization that added it. These providers process information under their own terms and applicable agreements.

6. Text Messages

If you opt in to Convaiy text messages, we collect your name, mobile number, consent wording, submission date, and limited technical information to document consent and prevent abuse. We use this information to respond to your texts and provide support, scheduling, and service updates. This consent does not include promotional messages. We do not sell or share mobile opt-in information or consent with third parties for their marketing or promotional purposes. Messaging service providers may process this information only to help us operate the messaging program. You may reply STOP to opt out, reply HELP for help, or email trevor@convaiy.com. 7. Retention and Security

We retain information for as long as reasonably necessary to provide the service, maintain business and transaction records, resolve disputes, enforce agreements, and meet legal or security requirements. Retention periods vary by record type. We use reasonable administrative and technical safeguards, but no online system can guarantee absolute security.

8. Your Choices and Rights

You may disconnect the Convaiy plugin through your ChatGPT connection settings. You may also ask to access, correct, or delete personal information Convaiy controls. We may need to verify your identity and may retain information when required by law, for security, or to complete legitimate business records. Depending on where you live, you may have additional privacy rights.

9. Children

Convaiy is a business service and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

10. Changes to This Policy

We may update this policy as the service changes. The effective date identifies the current version. Material changes will be communicated through the site, service, or another appropriate channel.

Local promotional offers

When you request a ChatGPT Business promo code, we collect your name, business email, business name, your confirmation that you represent a Ventura County business, and limited request and ad attribution information. We check whether the email uses a company domain that accepts mail; locality is self-confirmed. We store requests, assigned referral links, and unsuccessful submission details and reasons in our Supabase CRM to administer the offer, prevent duplicate claims, and help with redemption. We use n8n and Gmail to email your promotion link and notify Convaiy about successful and unsuccessful submissions. With analytics permission, an ad-linked visit also receives a random visit reference. We record public page paths, scroll milestones, approximate foreground time, contact-link clicks, and form actions, and email Convaiy a single activity snapshot about ten minutes after arrival. Later activity is not included in that email. We do not record keystrokes or form contents in these activity records. Visit records expire after 30 days; emailed summaries remain subject to our normal business-record retention. We use a hashed network identifier to limit abuse, without storing the raw IP address in visit records. If you later submit a form, its record can be associated with that visit reference. This form does not subscribe you to marketing emails or texts. You can contact trevor@convaiy.com about your information.

Website analytics and cookies

With your permission, we use Google Analytics on our public website to understand visits, traffic sources, article reading, and contact clicks. Google Analytics uses cookies and receives browser and device information and activity on public pages. We do not include customer dashboard activity, form answers, names, email addresses, or phone numbers in these analytics events. Advertising personalization is disabled.

With separate permission for ad measurement, the OpenAI Ads Measurement Pixel measures public page visits and successful promotion requests and attributes them to ChatGPT ads. OpenAI receives browser and device information, the page URL, and ad attribution information and may store a first-party attribution cookie. We do not send names, email addresses, phone numbers, form answers, or dashboard activity to this pixel. We request no future user-level ad personalization. You can allow or decline analytics and ad measurement separately and change your choices on this Privacy page. Analytics and ad measurement do not load before you allow the respective category.
